I am just starting with this program. Am I correct that I will need a different software or database to look up particular parts for a customer's vehicle? I understand that I may eventually find some information in the system catalog. When I am just starting out, how will I know when a customer comes in with a vehicle and needs this and that work done, which parts to put on the estimate?

Before you can use the program, you need to set up the database with the items that are currently available or there are available to order. After this is done, you will not need a third party program to select items for a customer estimation / invoice. The product has a search function for the database that works well.
